Every tool in this category can flag a bill that looks wrong. The question worth asking is which documents it actually checks it against, and whether those are the ones already in your ledger or ones raised inside the tool itself.
What BILL is
BILL is an accounts-payable platform. It captures bills, routes them for approval, and, the part MatchRail does not do at all, actually pays them, by ACH, card or cheque, with vendor onboarding and payment status tracking behind it.
$49 user/month for Essentials, $65 for Team and $89 for Corporate, with Enterprise on custom pricing. On matching specifically, Essentials and Team get procurement (purchase requests, purchase orders, tolerance rules, 2-way matching) available only Via Procurement add-on. What MatchRail is
MatchRail is one control. Every night it pulls what changed in your ledger and matches each bill against its purchase order and its receipt: quantity against quantity, unit price against the price you agreed, and the total against price times quantity received.
- A variance clears only inside BOTH bands, 1% of the purchase order's own figure AND $25 in cash, so the tighter one always binds.
- Quantity carries a tolerance of 0. A unit is on the dock or it is not.
- The receipt is recorded in MatchRail, because neither QuickBooks Online nor Xero has a goods-receipt document. That gap is why a bookkeeper on either ledger cannot run this check today.
- An approved correction is queued rather than posted, waits behind a 60-second kill window, and writes its own append-only audit row.
- $5/month flat for Pro. Not per user, and not gated behind a tier.
Choose BILL if
- You want one system to hold the bills, route the approvals and send the payments. MatchRail sends no money and never will.
- You need vendor onboarding, payment status tracking and remittance handled in the same place.
- You have the seats and the budget for the Enterprise tier, where the automatic three-way match lives.
Choose MatchRail if
- You already pay your vendors perfectly well and the thing that costs you a week is the checking.
- You want three-way match without moving your payables into a new platform. MatchRail reads the purchase orders and bills already in your QuickBooks or Xero.
- You want the control on the plan you are on rather than in the tier above it.
Moving off BILL
BILL is a payables platform you route approvals and payments through, so leaving the automatic three-way match specifically does not require leaving BILL: you can keep paying vendors through it and add MatchRail alongside for the check. MatchRail reads the purchase orders and bills already in your QuickBooks or Xero, so nothing about how BILL pays a vendor changes either way, since MatchRail sends no money at all.

Is MatchRail cheaper than BILL? For matching, yes, though the comparison is not really per-seat against flat. BILL is priced per user from $49/user/month for Essentials, and its automatic three-way matching is an Enterprise-tier feature on custom pricing. MatchRail Pro is $5/month flat with the match on every plan. BILL also pays your bills, and MatchRail does not, so if you need the payment rail the prices are not measuring the same thing.
What does BILL do that MatchRail doesn't? It pays. BILL captures bills, routes approvals, onboards vendors and executes payments by ACH, card or cheque, with remittance and status tracking. MatchRail has no payment rail, no approval routing and no vendor portal. It reads three documents and tells you which bills disagree.
